Description
LumaSense Technologies Inc, is seeking an energetic, self-starter with a cheerful go-get-it attitude! This person will fulfill many roles while maintaining a positive, upbeat atmosphere. Providing extraordinary customer service is essential to the position. The ideal candidate will be willing to go above and beyond to ensure successful outcomes with the daily work flow. Due to the nature of this position, the right candidate requires diplomacy, discretion and a high sense of confidentiality.

Reports to:  Vice President, Human Resources

Responsibilities:

  • Provide administrative support to the Executive team
  • Coordinate travel arrangements with ability to perceive needs (various time zones, distances, travel requirements etc.), while ensuring ownership throughout the planning and completion of travel
  • Manage all level of events which can include order, pick-up and set-up for lunches, meetings, company events, and off-sites when requested
  • Manage day-to-day operations of the office and partner with the facilities specialist
  • Maintain upkeep of lobby, conference rooms, break rooms and other common areas
  • Complete general clerical duties including mail sorting, shipping, and photocopying
  • Negotiate contracts and manage relationships with service providers; e.g. travel agency, local hotels, venues, and all events related resources
  • Process and submit expense reports on a timely basis and reconcile reimbursement issues as necessary
  • Member of Festivities Team
  • Perform other related duties as assigned or requested

Qualifications:

  • Minimum of 3+ years in an administrative assistant role
  • Experience managing and maintaining the operations of an office (e.g. maintain upkeep, manage service providers)
  • Skillful at managing complex travel arrangements (air/hotel/car)
  • Proficient in handling expenses, meeting planning, scheduling and logistics
  • Expertise in Outlook with strong overall knowledge of MS Office Suite as well as virtual meeting platforms
  • Manage confidential information with complete integrity
  • Strong organizational skills and excellent attention to detail
  • Self-starter who sets priorities and drives deliverables to execution with minimal supervision
  • Professional written and verbal skills with the ability to effectively communicate with all levels of staff and management
  • Ability to take proactive ownership of role, and maintain strong sense of responsibility/ accountability for high quality output
  • Works well in a team environment, offering suggestions and improvements to processes
  • Flexible with a positive and professional attitude

Education:  

  • BA/BS Degree or equivalent work experience
