Overview

Under supervision of the HR Systems Analyst, the HR Coordinator facilitates human resources business processes. This role provides administrative support to the human resource function as needed, including record keeping, file maintenance and HRIS entry.   This generally includes creation and maintenance of the employee master information and associated records, creation of employee records in the time entry system and associated employee reporting. The incumbent must be confident in database management and proficiency in Excel, Access and Crystal Reports as well have working knowledge of human resources processes.

Responsibilities

  • Facilitating human resources processes by processing new hire paperwork and employee status changes. 
  • Maintain employment files and HRIS system with current and up to date information. 
  • Conduct routine audits to ensure the integrity of the data in HRIS system
  • Conduct audits of various HR programs or services.
  • Maintain shared folder on Network Drive to ensure effective communication with employees and management. 
  • Support the Human Resources department with research and/or other projects as assigned.
  • Process employees' requests and provide relevant information. 
  • Manage file retention which includes active employees, termination files etc
  • Assist the HR Systems Analyst in enhancing the use of the HRIS system.

Qualifications

Education/ Work Experience: 

  • Certificate in Human Resources management.  Diploma preferred.
  • 2 years human resources administration experience with a focus on HRIS
  • Experience with an HRIS system (preferably JDE)
  • Intermediate to advance proficiency in Excel, Access and Crystal Reports.
  • Basic understanding of Payroll solutions and processing preferred.

Equivalent combination of education and experience is also fully qualifying.

Knowledge, Skills & Abilities:

Excellent organizational and interpersonal skills. Effective written and verbal communication skills. Excellent customer service skills. Ability to prioritize and demonstrate a high level of accuracy with an attention to detail. Able to manage multiple priorities, meet deadlines, and follow through on work assignments with minimal supervision. Critical thinking skills and an ability to work independently and as part of a team are essential. Ability to exercise discretion, initiative and good judgment.  Maintain discretion in matters of confidentiality.

Physical Requirements: 

Essential and other important responsibilities and duties require maintaining physical condition necessary for walking, standing and sitting for prolonged periods of time; may be required to push, pull, bend, lift light to moderate objects (10 lbs.), carry, reach, and stoop; finger dexterity is essential. Maintain mental capacity that permits making sound judgments regarding work and have regular attendance.
