Description
Key Responsibilities
- Organize and manage filing system for the group including tracking all proposals, responses, new opportunities, feedback and status
- Process new client information and project proposals, as well as ensuring all budget documents have been approved and signed
- Assist Project Managers with budgeting and invoicing
- Produce and transmit documents for projects such as: general communications (letter and memos), summaries of meetings, requests for proposals, contracts, and various reports
- Provide technicial support to the team of the project, for example develop templates following the requirements of the project/client, and search the necessary templates for specific documentation
- Assist with contract management to assist project delivery team on construction projects
- Coordinate and update tracking sheets in Excel format with direction from the project team
- Support team with new hire requirements, IT requests, space management, and general introductory documentation
- Support team by coordinating business needs related to IT requests, meeting setup, accounting submissions from contractors, and internal team members
- Complete all other tasks that are releated to the position of an Administrative Assistant - Project Management
- Other administrative duties as required
Requirements
Qualifications
- Diploma or degree in administration or other related discipline
- 2+ years of experience working in an administrative capacity; preferably in an engineering or construction firm
- Demonstrated ability to manage multiple priorities and dedication to customer service
- Proficient on computer software applications (Word, Excel, PowerPoint)
- Good initiative, attention to detail
- Ability to work in a team environment
- Excellent verbal and written communication skills
