JOB SUMMARY
The position of Administrative Assistant will report directly to the Inside Sales Manager. This position will support a variety of functions related to the sales function.
JOB DUTIES
Receptionist
- Answer multi-phone lines, with limited delay
- Transfer calls to proper departments in a timely manner
- Welcome walk-in customers and vendors
- CRM Account Maintenance
- Receive incoming mail to distribute to other departments or individuals
- Prepare outgoing mail for postal service, UPS or FEDEX
- Assist with Executive travel and calendar scheduling as needed
Support Director of Government Sales
- Provide bid process support Onvia, customer contact as needed
- Process vendor registrations, online portal renewals
- Submit 'no bids' to government agencies
- Update customer relationship database (CRM-INFOR)
Support Purchasing
- Update supplier delivery dates in the system
- Assist in updating specs
- Assist in scanning and filing of purchase documents
- Assist in warehouse transfers in MAS
- Assist in contacting suppliers for quotes, expedites and updated delivery information
Support Rental Assistants
- Search through inventory for available equipment and e-mail equipment specifications to customers as requested
- Responsible for producing and sending out weekly availability reports for the rentals teams at the beginning of the week.
- Communicate with the external customer - answer questions, keep them updated on cab cards, provide Open Lease Reports, Inspection requirements, etc.. On the equipment they have on lease as requested
- Back-up the Rental Assistant position on an as-needed basis
- Thoroughly document customer equipment rentals, sales and rental returns
- Collect all relevant details pertinent to sales and rentals to fulfill write-up requirements and distribute company-wide
- Update the system to transfer units from yards to RNT (rent) status
- Complete any vendor forms for the customer they may require (only applies to certain customers)
Requirements
Education and Experience:
- Associates Degree or equivalent, 1-2 years of work experience in an office setting
- Ability to learn technical material and frequently communicates with others who have operational inquiries. Must be able to exchange accurate information in these situations. Must be able to observe and interpret operational data.
- Excellent written, verbal, interpersonal, and communication skills
- Excellent data entry skills and high degree of accuracy
- Proficiency in Microsoft Excel, Word, PowerPoint, and Adobe
- Self-starter with the ability to manage multiple projects without direct supervision, ability to follow directions
- Experience working in a Customer Relations Management System is a plus
- Exceptional time management skills, organizational skills and ability to multi task
- Learn and master navigation of the customer relationship managements (CRM-INFOR) system
- Close rental opportunities in the Customer Relations database (CRM-INFOR)
