Description
We are seeking a highly organized, meticulous, and adaptive administrative professional to join the Shared Services. Reporting to the Director, Shared Services, you will be responsible for providing Administrative Services to the Director and Senior leadership team in the Drainage Business Unit.

The position manages a wide variety of administrative functions which include: calendar management, meeting logistics, managing agendas, meeting minutes and action registers, proofing, formatting and distributing correspondence, reports and presentations, managing records, processing expense claims, managing intranet and SharePoint updates, drafting and updating process maps, and related office administration functions.

As an Administrative Assistant to the Director, Shared Services, your accountabilities will include:

  • Logistics: Coordinating meeting planners and materials, and managing appointments and communications for the office of the Director.
  • Meeting Support: Attending meetings, taking minutes, tracking actions and decisions, and coordinating facilities and catering for on-site and off-site meetings and events.
  • Document Management: Establishing paper and electronic records management and administrative processes, templates and related document management structures, formatting and proof-reading documents and correspondences, and maintaining distribution lists.
  • Reporting: Compiling, finalizing, and posting regular business reports by compiling information from various groups and/or running reports from organizational reporting systems (i.e. Oracle, ESS).
  • Travel: Coordinating logistics for travel, tracking mileage and completing expense claims, and administering all travel and training requests for the department.
  • Financial: Processing purchase orders and invoices and reconciling credit card expenses for the Shared Services senior leadership team.
  • Office Support: Ordering materials and supplies, coordinating office moves and new hires, completing technology requests, and any other administrative support required.
Requirements

The successful candidate will possess the following qualifications:

  • Completion of an appropriate certification program from an accredited post-secondary business school.
  • Significant senior administrative experience required, specifically in general administrative support and coordination for senior leaders, calendar management and meeting logistics, document and records management, and working in software systems.
  • Exceptional computer skills with proficiency in the Microsoft Office Suite, Visio, SharePoint and ERP systems.
  • Demonstrated ability to draft various correspondence and documents and ensure they are accurate and error-free.
  • Fast and accurate keyboarding skills are required along with the ability to create professional error-free documents.
  • Experience in process improvement, intranet development, and the set up and management of administrative systems is required.
  • Excellent written and verbal communication skills.

Wage: $25.77 - $30.73 per hour
Hours of work: 8 hours per day, 40 hours per week
