The Operations Specialist shall be responsible for all Billing and Settlement related matters.  He/she ensures that bills or invoices are accurately processed and sent out to their corresponding LDCs in a timely manner. He/she also ensures that payments are promptly reviewed and processed. To perform the job successfully, an individual should demonstrate the following skills or competencies:  attention to details, ability to handle stress or deadlines, analytical or good troubleshooting skills, good communication skills, and has at a minimum an intermediate knowledge of the MS Office suite of applications.

Your key responsibilities:

  • Checks/exports, verifies and reconciles the accuracy of the files/reports downloaded from and to the LDCs.  Depending on the LDCs, these files may include any or all of the following: daily consumption, invoices/bills, accepts, rejects, payments, adjustments and invoice settlements.
  • Monitors bills in the pending approval screen.  
  • Auto approves bills without exception errors.  Reviews and investigates bills with exceptions making sure their issues are resolved no later than the maximum allowable business days for bills to be returned.  Emails LDCs when necessary
  • For Rate Ready markets, reconciles bills received from the LDC against known parameters and ensures their accuracy.
  • Works in collaboration with the LDCs, Operations Specialists (Customer Maintenance), Customer Service, Corporate/Consumer Relations, Finance, Production Support Group and IT for the timely resolution of billing and settlement issues.  Seeks approval from the Supervisor, Manager or Director whenever applicable.
  • Ensures that the monitoring and exception reports are run daily so that issues can be investigated and resolved quickly. This includes the missing consumption report, rejected usages, rejected bills, bills missing responses, unbilled adjustments reports and rate-ready reconciliation reports.
  • Documents all consumption, bill and payment/settlement related issues. Keeps a file, whether hard or soft copy of all communication with LDCs.
  • Manages billing-related errors by constantly monitoring the Ops Console Logging screen.  Investigates these errors and performs the necessary fixes to resolve them.
  • Communicates to the Sr. Ops Specialist or Operations Manager regarding any system-related issues/bugs as well as recommends system enhancements to improve efficiency and productivity.
  • Documents new processes and updates Procedure Manual for changes in procedures.  Creates and maintains process flow charts as well.
  • Follows Operations Policy and Procedures. Signs on the daily, weekly and monthly checklist to confirm performance of required tasks.
  • Performs user acceptance testing (UAT) prior to a major or minor release/upgrade.
  • Performs other relevant functions that maybe assigned from time to time.

Physical demands and Work environment:

  • While performing the duties of this job, the employee is regularly required to sit, stare at the computer screen, or hear.  The employee frequently is required to use fingers to key and hand to hold and move the mouse. The employee is occasionally required to stand, walk, and reach with hands and arms.
  • Daily activities will take place in an office environment under fluorescent lighting.
  • The noise level in the work environment is usually moderate.

Your background includes:

  • Post-secondary degree/diploma or equivalent experience in industry
