Job Summary

Under general supervision, responsible for moderately complex work in site-specific computer programs, including Work Management Systems, Account Payable Systems and Safety Management Systems, including VPP Master Control Plan. Activities includer printing work packages, work completions, managing, tracking, and editing of work plans, and JSA's; verifying invoicing, managing shift changes in both operations and maintenance. Central point of planned scheduled overtime, assist O&M leadership and other work groups in carious activities as approved by the respective operation or maintenance manager. Works with minimal guidance in own area of knowledge. This position performs a combination of, or all the tasks listed and is responsible to backfill for the other department when necessary

Job Duties

  • Prepares moderately complex tasks in the Computerized Maintenance Management System for the maintenance or operations' staff and crews which includes printing work packages, verifies, research and document correct completion notes, action codes on finished work tasks, editing and correcting work plans, tracking, editing of JSA's to database, entering and editing equipment in the equipment database. Providing Team Leaders with hard copies of work packages, including BOM, Work Standards required for assigning work. Routes completed Work Order Tasks to the appropriate Planner.

  • VPP Master Control Plan controlling and editing of software to manage all the Standard Operating Procedures (SOP's), attachments, links, and documentation to support the VPP Safety Management System.

  • Enters and tracks the routine self-inspection - enters and edits new tasks and supports operations and maintenance staff for completed items in the system.

  • Assists and manages the employee shift changes for crew changes annually and for company need. Notifies all work groups of the crew changes, makes recommendations to keep crews balanced, posts crew assignments to folders. Completes supervisory changes and crew changes in Human Resources Information System. Researches employee work history with Payroll on annual shift request criteria.

  • Perform tasks on special projects as requested through the respective Manager.

  • Assists in coordination of clearances, special tools, training and mobile equipment as needed. Support Maintenance and Operations with coordination of information and special projects upon request. Coordinates the scheduling of apprentices monthly to ensure training opportunities in all work areas.

  • Solves a range of moderately complex logistics related to supporting the organization.  Solves problems related to keeping work flowing and freeing up Team Leaders time to resolve field maintenance problems or issues. Analyzes possible solutions and usability of software and procedures.

  • Builds knowledge of the organization processes and customers.

  • Print all PMs for the on-coming shifts, matching the printouts to the expected PMs per the Scheduler's sheets. Meet with the Scheduler or Work Management Administrator to reconcile any discrepancies.

  • Assist with handling, tracking, and filing of the critical PM's, especially NERC and MDEQ, but also including weekly Turbine tests, etc. Meet with Fire and Equipment Insurance Carrier to review records as needed to ensure compliance of carrier's instructions, thereby ensuring the lowest rates possible.

  • Serve as the Records Retention Coordinator for the respective department. Follow-up with the supervisors when logs, journals or reading sheets are missing; work with the supervisors to ensure records are maintained accordingly.

  • Create yearly flex leave calendars for craft employees once supervisor approvals are complete.

  • Gather paperwork from Planned Overtime polls and provide in a timely fashion. Provide backup to for the other O&M Administrative Coordinator as necessary for the consolidation of poll feedback.

  • Assist with callouts of union employees; coordinate the associated paperwork and insure it is provided to the Union Hall in a timely manner.  Collect data for qualifications to add to the call-out sheets and ensure that the call-out sheets are posted in a timely manner with accurate data.

  • Coordinate event paperwork following unit trips and de-rates.

  • Work in conjunction with Tech Training clerk to track apprentices & Journeyman in Training's, posting their system checkoffs to key locations throughout the plant (LPO, supervisor offices).

  • Assist with Monthly Owners' Reports and data confirmation.  Provides information to Plant Manager for presentations at Owners' meetings, and answers questions regarding the information to the Owners.

  • Ensure budget-to-actual monthly accounting is accurate by tracking commodity orders and deliveries for engineering areas. Work with service and delivery companies to resolve discrepancies.

  • Run month end data and update the Goal Matrix on Operations SharePoint site (CA, Paste Plant availability, VSEP availability).

  • Attend and maintain minutes for the Clearance Committee and update the hardcopy Clearance Model process as directed by the committee chair or back-up administrators.

  • Maintain the Maintenance and/or Operations' SharePoint site.

  • Coordinate travel arrangements and resulting shift changes for union personnel (E+ trips, training, etc.)

BASIC QUALIFICATIONS:

  • High School Diploma

  • 4 - 6 years' Administrative experience and a HS/Associate Degree OR 2 - 5 years' experience with a bachelor's degree

  • 4 to 6 years' experience in common software business applications experience, including Microsoft Office products.

  • Proficient in Outlook, Word, Excel, PowerPoint, SharePoint, and ability to learn and be proficient in the work management system, payroll system, safety management system, plant data historian (PI), plant data recording software (eSoms) and other software packages used for the tracking of various plant processes. Must have ability to train others in these software programs

  • Good verbal and written communication skills.

  • Strong client-service orientation and exceptional ability to work efficiently with individuals at all levels of the organization.

PREFERRED QUALIFICATIONS:

  • Bachelor's Degree in Business Management or closely related field of study.
