Description

PGE's fast-growing Grid Edge Solutions team is looking for a Smart Grid Testbed Project Coordinator. In this role, you will support the Smart Grid Testbed team by helping implement various demonstrations exploring areas of flexible load potential. This position will help coordinate day-to-day operations and will facilitate communications with customers and stakeholders, while also supporting the team by contributing a technical understanding of concepts related to energy efficiency and flexible load measures, like EV charging, solar, energy storage, smart thermostats, and smart water heaters.

Responsibilities

  • Project Consultation and Planning Responsible for providing project assistance to a senior project manager (PM). Types include, but are not limited to, business systems or process improvements, department reorganizations and strategy implementation, training, feasibility studies and pilots.
  • Performs project management activities in support of a major or enterprise-wide project managed by a senior PM.
    • Working with the project team and leaders, along with operations managers to ensure strategic alignment, cost effectiveness and mitigation of negative operational and/or customer service impacts of business initiatives and projects; works with project sponsor to develop objectives and scope; assists in or develops business case/justification.
    • Coordinating the day-to-day activities of multiple projects, including preparing and maintaining project plans, project schedules, work hours, budgets, expenditures and setting up of project records systems. Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project. Providing administrative support as needed.
    • Working with project teams to understand and assist with tracking all work, task and project assignments. Undertaking project tasks as required. Ensuring project deadlines are met. Assessing project risks and issues and providing solutions where applicable. Determining project changes as needed.
  • Team Leadership Provides project support by scheduling meetings, developing agendas, distributing meeting materials, capturing minutes, tracking assignments and requesting updates for assigned projects and executive steering committees.
  • Stakeholder Engagement Organizing and facilitating stakeholder meetings where appropriate and distributing minutes to all attendees. Documenting and following up on important actions and decisions from meetings. Assisting with the development of any necessary communication or presentation materials.
  • Project Controls Establishes and maintains formal controls to manage and monitor project budget, scope, quality, schedule and risks to ensure projects are completed on time, within budget and effectively. Maintains, adjusts and updates project plans as needed.
  • Maintains, monitors and updates the project plan; tracks and updates budget; alerts PM to significant variances and potential scope increases; maintains and tracks all project-related action items and issues.
  • Process Improvement Assists senior PMs in facilitating business process improvement (BPI) activities; assists managers and subject matter experts to identify, understand and improve or revise processes, practices and policies; assists managers in establishing process controls in order to measure baseline and post-improvement performance to monitor success of improvement initiatives.
  • Contributes and assists senior PMs with BPI and benchmarking activities by surveying and analyzing best practices, diagraming and capturing process flows, performing gap analyses and identifying improvement opportunities; researches and documents user requirements for business systems; facilitates BPI sessions on behalf of senior PMs as requested.
  • Project Reporting and Documentation Ensures all project documents are catalogued and archived in a secure and efficient manner; documents and files all "lessons learned" along with all project artifacts.
  • Prepares program/project level communications such as progress reports, proposals and presentations.   • Internal Collaboration Partners with PMs to improve overall organizational competencies in project management; collaborates with PM peer group to continually improve.

Qualifications     

Required:

  • Education High School diploma required, some college preferred
  • Experience Zero to two years of senior administrative, planning, project management or related field.
  • Certifications, Licenses and Training Basic knowledge of project management. CAPM preferred.
  • Valid Driver's License required

Preferred:

  • Basic knowledge of energy industry players and their technologies, the competitive market and market trends.
  • Basic knowledge of project management science, methodologies and standards.
  • Basic knowledge of and skill in using software applications such as MS Project, PowerPoint, Word, Excel spreadsheet and graphing and Visio.
  • Intermediate computer skills using Microsoft Office suite.
  • Basic analytical thinking skills.
  • Basic business acumen.
  • Working listening skills, including the ability to draw information out and to see things from another's perspective.
  • Basic creativity and innovation skills.
  • Basic presentation and facilitation skills.
  • Basic problem-solving skills.
  • Intermediate communication skills, both written and oral.
