Summary: Job Description
Provides principal secretarial and administrative support to the Transmission Director(s) and staff at the Dallas Transmission (Building B) facility and maintains a close and highly responsive relationship with the day-to-day activities of management. Works independently with minimum supervision and guidance.
Key Roles & Responsibilities Directly or through others, the incumbent:
- Processes invoices, expense reports, job orders, billing, receivables, and purchase and credit card statements using various business applications.
- Coordinate multiple job assignments including reports, presentations, newsletters, and special projects, using various PC software and business applications.
- Utilizes available resources for optimum efficiency, sets priorities, and organizes work to ensure assignments are completed on time.
- Maintains and applies working knowledge of Company and business unit policies, practices, and procedures.
- Performs all essential aspects and functions of the job and well as any other specific job requirements
- Coordinates travel arrangement for Director and staff; coordinates general and training meeting arrangements; manages Director's calendar.
- Coordinate on-site meetings (including but not limited to):
- Craft/Patrol/Tech Yearly Training
- Technician Progression sessions
- Support Transmission needs to produce as needed reports
- Maintenance Status
- Others to be determined
Job Attributes:
Education: High School diploma, GED or equivalent required.
Experience: Three years' experience in administrative support functions or one year experience with two years college/secretarial school. Professional Administrative Assistant/Secretary accreditation and knowledge of electric utility business/customer interface a plus.
Skill :
- Must display a positive, customer-focused attitude and be willing to work long or on occasion unscheduled hours.
- Must be organized, detail oriented and have strong written and oral communication skills.
- Must be able to work under pressure, meet deadlines, creatively solve problems with minimum guidance and work independently, knowing when to seek guidance.
- Demonstrated ability to interface effectively with internal and external clients at all levels, including executive management.
- Strong computer skills including Microsoft Office applications, Word, PowerPoint, Excel, Outlook, EZPay, People Soft, UltiPro and other Internet/Intranet applications.
