Description

Responsible for performing a variety of administrative, financial and clerical duties in support of a combined-cycle power plant operations.  Lead coordination of monthly financial reporting including accrual reporting. Supports account payable and receiving for facility. Maintains a responsive relationship with the day-to-day activities of plant management and site personnel. Efficiently perform routine and special assignments with minimum guidance including interfacing with internal departments, and external vendors/suppliers and use of various software tools such as Microsoft Suite (Word, PowerPoint, and Excel), Maximo, Clarity and SharePoint.  Responsible for providing reliable and efficient electric power generation in compliance with corporate safety policies and procedures, mandatory electric reliability standards, FERC, EPA, EPD, OSHA, DOT and all applicable governmental regulations.

Job Duties:

  • Monitor accounts payable functions including invoice audits and matching for payments, submitting vendor requests. Run the month end reports, review and distribute. 
  • Performs various budget and accounting activities including creation and maintenance of various spread sheets purchasing and expenditures on purchase orders and blanket purchasing orders, and contracts.
  • Coordinate process of contract documents including contract setup forms, executive summaries, GSA's, Task Releases, close outs, vendor mailing, and file maintenance.
  • Perform administrative duties including correspondence, scheduling of conference rooms, plant tours, meetings, lunches, and supplies.  Maintain plant and personnel files, emergency contact binder, required off-site records storage, RM file code for corporation and plant, and plant training and test material. Coordinate annual plant physicals, first aid, CPR, and defensive driving training.  Process workers compensation claims and incident reports, physician contact, corporate interface and reporting.  Maintain forms and physicians panel for plant and required legal postings (state, federal, OSHA).  Assist site associates with paperwork on direct deposits, health and dental benefits.
  • Provide file maintenance, organization of document center, drawings, library, scanning of records, ordering of supplies, and preparation of correspondence to ensure corporate standards are followed.
  • Answers multi-line telephone, takes messages, routes call slips, and provides required internal and interdepartmental information requested.  Interfaces with various corporate departments to develop processes required to process personnel and payroll forms and expense reports and other report requirements.  Maintain phone system voicemail, greeting, and admin function office phones.
  • Coordinate associate events activities for the plant.
  • Prioritizes and composes replies to a variety of correspondence both internal and external, and handles confidential and proprietary correspondence, files, and material.  May prepare and sign routing, correspondence in own or staff names. 

Required Qualifications:

Education: High School Diploma or equivalent required.

Experience: Five (5) years of clerical experience of which at least three (3) years included administrative responsibilities in accounting, budgeting, contracts, and purchasing.  Prefer previous experience in an industrial or power plant facility environment.

Equivalent Experience: Associate degree or equivalent certifications with three (3) years of clerical experience included responsibilities in purchasing, contracts, accounting, budgeting, database applications, and/or electronic spreadsheets.

Knowledge, Skills and Abilities:

  • Good verbal and written communication skills using the English language; ability to type 60 wpm.
  • Experienced in word processing, electronic spreadsheets, graphics, database applications, and extensive use of data processing equipment and software.
  • Ability to coordinate multiple schedules simultaneously, and efficiency in the planning and scheduling of travel arrangements, agendas, and itineraries.
  • Knowledge and skill in composing letters, correspondence, reports, and memorandums.
  • Decision making capabilities.
  • Knowledge of filing procedures and multiple filing systems maintenance.
  • Knowledge of budgeting and reporting, cost tracking and analysis, accounts payable policies and procedures, and   corporate interfaces with various departments.
  • Knowledge and skill in interpretation of utility business policies, procedures, and technical language.
  • Good inter-personal skills. 

Licenses, Certifications and/or Registrations: Valid driver's license, which meets the insurance eligibility requirements under Oglethorpe Power's Driver Qualification Program.
