JOB SUMMARY/PURPOSE

This position will coordinate all administrative functions and provides multifaceted administrative support to department management and staff. Responsibilities typically include: accurately supporting the production of a variety of filings, reports and presentations using the appropriate software for word processing, graphics and spreadsheets, preparing and/or updating functionally related reports and records, developing and/or participating in special projects and events.  Responsibilities also include running and tracking projects and programs associated with senior management administrative support, scheduling appointments, coordinating incoming mail, maintaining calendars, making travel arrangements, arranging meetings, etc. 

JOB DUTIES/RESPONSIBILITIES

  • Provide secretarial and administrative support to Senior Lawyers and paralegals with extremely heavy caseloads.
  • Prepare formal correspondence and routine documents and presentations given minimal direction.
  • Prepare documents, spreadsheets, presentations, interoffice correspondence and copies.
  • Prepare legal documents accurately and punctually in compliance with applicable requirements.
  • Schedule and coordinate quarterly board meetings for Entergy operating companies.
  • Handle multiple assignments, work within deadlines, and maintain confidentiality of departmental issues.
  • Be proactive in forwarding work issues to the appropriate managers/supervisors.
  • Distribute and process consents and resolutions through legal entity management portal.
  • Maintain well-organized and detailed filing system for legal entity management and business records and support compliance with applicable record retention policies.
  • Monitor scheduling communications and maintain attorneys' calendars; schedule events, travel arrangements and departmental meetings; and arrange conference calls, meeting facilities and catering.
  • Process law firm and nonlegal matters and invoices in electronic systems (Passport and PRF).
  • Process new vendors. 
  • Process expense reports and input time worked into payroll system.
  • Communicate daily with internal and external business contacts/consultants.
  • Assignments may involve overtime hours.
  • Regular attendance is essential; working remotely is not possible.

MINIMUM REQUIREMENTS

Minimum education required of the position

Typically requires vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree)

Minimum experience required of the position

8+ years of relevant experience is required

5+ years legal administrative or secretarial or paralegal experience is a plus

Minimum knowledge, skills, and abilities required of the position

Ability to work independently given minimal direction; ability to work in teams is essential

Must be proficient in Microsoft Word, PowerPoint and Excel
