Responsible for licensing, registration, insurance and permitting of fleet equipment and vehicles. Working with assigned mechanics, reconcile Fleet Procurement Transactions used for purchasing parts. Reconcile the Voyager Fuel cards. Initiate purchase requisitions and approval for payment within defined limits for Fleet Operations. Data entry for fleet related processes. Process rental requests and monitor progress as appropriate. Partner with Fleet employees to ensure required labor entries and exceptions are accurately processed into the appropriate system(s). Provide other general administrative support for the fleet organization.
Essential Responsibilities
- Perform fleet licensing, registration and permitting. Coordinate special licensing and permitting requests. Distribute insurance certificates for the Fleet. Process vehicle and equipment registrations.
- Perform filing and maintenance of fleet unit records including titles, licensing and manufacturer records. Perform data processing into the Fleet Management Information System including pool car transactions, work order creation, and preparation and distribution of reports. Originate material requisitions for department purchases. Authority to approve within predefined limits.
- Collaborate with Xcel Energy employees and suppliers regarding Fleet requirements. Respond to all inquiries In a timely manner.
- Audit and validate Fleet procurement card transactions for proper accounting and documentation.
- Partner with Fleet employees to ensure required labor entries and exceptions are accurately processed into the appropriate system(s). Maintain vacation/sick reports, overtime callout, and meals. Provide backup for time entry of other areas. Submit Personnel Action Forms (PAFs) as required.
Minimum Requirements
- Associate degree in Business or a combination of education and experience providing equivalent knowledge.
- Proficient in use of Microsoft Office Suite.
- Proven organizational, communication and interpersonal relationship skills.
- Requires a valid drivers license.
Preferred
- One year experience in a fleet/automotive environment.
