POSITION PURPOSE:
The Associate, Communications Events, serves an essential role in coordinating and executing TVA's internal and external meetings and events. In coordination with the Manager, Communications Events, and consulting with clients across the TVA enterprise, this position is responsible for coordinating and executing of all related resources related to assigned meetings and events and/or actively engaging other team members in support of their meetings and events. This is a critical role because a successful corporate event helps TVA build strong relationships with our stakeholders, inclusive of employees, customers, shareholders, investors, community and the media. 

The associate has responsibility for all activities related to assigned live or virtual meetings, events and tradeshow exhibits.

Works with the manager, team members and various stakeholders to provide strategic direction, coordination and execution for corporate internal and external meetings/events. This includes, but is not limited to, understanding client needs and their budget; suggesting dates/times, production timelines, venue review and selection, scope and desired outcomes for events.

Identifies and secures resources, establishes and manages budgets, communicates with clients/stakeholders to keep them informed, and vet vendors to secure the best prices and products. Manages vendors and a diverse mix of staff to ensure all aspects of events are executed flawlessly and exceeds expectations.

PRINCIPAL ACCOUNTABILITIES:
1.    Develops event specific strategies, creates personal operating standards and leads cross-functional teams to plan, resource, implement and execute internal and external meetings/events.
2.    Works within existing TVA guidelines and adheres to industry standard ethical guidelines.
3.    Creates complex project-type plans within relatively short time frame.
4.    Coordinates and monitors event timelines ensuring deadlines are met.
5.    Identifies logistical needs required to execute assigned events to include securing necessary staffing, venues, registrations, presentation material, reporting and related technology resources.
6.    Serves as liaison with vendors on event related matters.
7.    Completes, both accurately and timely, event related finances including invoice reconciliation and reporting.
8.    Collaborate with team manager to develop, implement and execute enterprise-wide live and virtual event & major meeting strategy.
9.    Understands TVA's brand, business operations, business strategy, current and future issues affecting near and long-term plans, and the culture and value systems impacting TVA's effectiveness.
10.    Ensures TVA's participation/representation are conducted in a way that advances TVA's overall brand; include use of appropriate protocol, identifying all appropriate stakeholders, customer and constituency groups as well as political/business leaders whose attendance/participation would be appropriate to for each particular event.
11.    Driving brand consistency and cost effectiveness through the use of thoughtful enterprise-wide processes. 
12.    Works directly with clients/stakeholders, their direct reports, senior management assistants, and organization group leaders to create programs, establish goals, and coordinate associated events. Interfaces with these individuals using tact and diplomacy.
13.    Proposes new ideas to improve the event planning and implementation process.
14.    Maintains an understanding of corporate and business unit goals and issues, brand and marketing priorities and industry trends.
15.    Effectively collaborate and coordinate with Communications & Public Relations colleagues to promote best practices, idea sharing and success for all meetings/events.
16.    Act as a subject matter expert consulting on smaller events/meetings as needed.
17.    Supports Communications Event Management budget and key metric responsibilities.
18.    Keep inventory of "tradeshow" related assets (backdrops, popup displays, projectors, computers, and other display materials)
19.    Close out all events as required
20.    Drive flawless execution of major meetings and events.

MINIMUM REQUIREMENTS:

  • Education  Bachelor's degree in marketing, journalism, communications, public relations, hospitality management, English or related fields. An advanced degree is strongly preferred.  
  • Experience At least five (5) years of experience in the marketing, communications, event or hospitality management.  Must also be familiar with the companies that supply event services or facilities, such as conference centers, hotels, catering firms, audiovisual specialists, speakers bureaus, exhibit companies and set builders.
  • Certification/License, etc CMP Certification highly preferred.
  • Knowledge/Skills/Abilities Proven knowledge of contemporary event marketing/management processes, practices and tools;  ability to interact persuasively with all levels of the organization and external to the company; skills in current communications technology; creativity and resourcefulness. Candidate may be required to obtain and maintain a security clearance based on position / access requirements and essential job functions. Fantastic customer service ethic, high standards for quality and passion for brand fidelity.  
  • Proficient using the Web to conduct research, event administration and procurement as well as with the latest versions of Microsoft Outlook, Word, Excel, PowerPoint. Experience with Adobe Connect or other virtual platforms a plus. Excellent organization skills and experience with project management techniques and tools. Ability to manage multiple simultaneous projects and work assignments from a variety of staff and volunteers. Excellent interpersonal skills both in person and by phone, with high professionalism.
